Administrator to the Executive Director
Office Manager

Full-time position
Reports to: Executive Director

The Administrator of the office of the Executive Director helps the executive director oversee a wide variety of tasks within the non-profit. Helping to supervise overall office operations to ensure smooth communication between five full-time employees in both the NYC and East Hampton offices, making sure employees are adhering to all company standards and policies for quality, safety, and consistency, as well as physical management of the East Hampton office, and the Executive Director’s correspondence and calendar.

Other year-round responsibilities include:

Board
– Organize and attend Board and Advisory Board meetings
– Gather and send all materials, manage correspondence, RSVPS and minutes
– Act as main conduit to all board members for information, invites, and notifications

Individual Giving
– Work with Executive Director to create and execute strategies for gift solicitations through positioning, creative thinking, messaging and networking
– Conduct donor research, outreach, and correspondence
– Manage and oversee donor database
– Coordinate the annual appeal process to major donors in coordination with the Executive Director
– Maintain donor attendance and engage donors at HIFF events

Membership
– Implement innovative and effective approaches to retaining, engaging and recruiting members, and serve as the primary contact person
– Maintain member database, new member outreach and renewals

Grant Management
– Oversee grant list and timeline, compliance and fulfill reporting requirements

Hamptons International Film Festival responsibilities:

Maintain continuing correspondence to Board, Patrons, and Members for all activities related to the annual film festival including email updates, database updates for pass elements (photos and guest data), attendance lists, and on-site registration.

Qualifications

– BA preferred
– Highly organized and detailed
– Self starter with ability to set priorities, complete projects and follow-through
– Keen analytical, organizations, and problem-solving skills that enable sound decision making
– Skilled in standard office software, such as Word and Excel
– Ability to multi-task and wear many hats in a fast-paced environment

Salary commensurate with experience.
Familiarity with theHamptons area and own transportation and housing required.

The Administrator is a full-time position with the opportunity to grow professionally. HIFF has a flexible work schedule, some evening and weekend work is required. Health benefits, paid holidays and paid vacation offered.
